Activate product (organizations)

This article explains how Organization Account Owners activate EmbroideryStudio product keys using Wilcom Account Management. Product keys can be used to create new licenses or apply upgrades, updates, and add-ons to existing licenses. For more information about product keys, see About EmbroideryStudio product keys.

Before you begin

Before activating a product key:
  1. Your Wilcom organization must already be created.
  2. You must be signed in as the Organization Account Owner.
  3. Members should already have accepted their organization invitations.
This ensures licenses are activated and managed within the correct organization.

How product activation works

  1. Organization product keys are activated centrally through Wilcom Account Management.
  2. Activated licenses appear under Admin Tools > Applications, where they can be assigned and managed.
  3. Members normally receive access by being assigned a license. They do not usually need to activate product keys themselves.

Activate a new license

To create a new license:
  1. Sign in to your Wilcom Account.
  2. Go to Admin Tools > Applications.

  3. Select Activate Product Keys.

  4. Enter the product key.
  5. Select Activate. The new license appears under Applications > EmbroideryStudio.

If you cannot see the new license immediately, select 'Show all levels' or choose the appropriate license level.

Enhance an existing license

To apply an upgrade, update, or add-on to an existing license:
  1. Sign in to your Wilcom Account.
  2. Go to Admin Tools > Applications.
  3. Locate the license you want to update.
  4. Select the More (...) menu.

  5. Select Activate Upgrade/Add-on.

  6. Enter the product key. The selected license is updated with the additional functionality.

After activation

After a product key has been activated, Organization Account Owners can manage the license from Admin Tools > Applications. From here you can:
  1. Assign licenses to Members
  2. Unassign licenses
  3. Reassign licenses
  4. Manage upgrades, updates, and add-ons.

Frequently asked questions

Can Members activate product keys?

Normally, no.
  1. Organization Account Owners usually activate product keys centrally through Wilcom Account Management and then assign licenses to Members.
  2. If your organization distributes product keys directly, Members can activate their own license by following Activate product (individuals).

What happens if I activate under the wrong account?

If a product key is activated while signed in with the wrong account, the resulting license may be associated with that account instead of your organization. This most commonly occurs when:
  1. The wrong email address is used
  2. The user activates the product before joining the organization

How can I avoid activation problems?

To reduce activation issues:
  1. Activate product keys while signed in as the Organization Account Owner.
  2. Always use the same email address that belongs to the organization.
  3. Invite Members before assigning licenses.
  4. Ensure Members join the organization before using EmbroideryStudio.
  5. Activate product keys centrally whenever possible.
