Upload design files

Uploading files to Wilcom Library allows you to store embroidery designs and related materials in a central location where they can be accessed and shared across your organization. When a design file is uploaded, Library creates a design record that stores the design together with its metadata, technical properties, and any attachments. This makes it easier to organize designs, search the Library, and manage embroidery assets for future use.

Upload a design file

There are two ways to upload a design file to Library.

Upload using the Upload button

  1. Open Library and go to My Designs.
  2. Click Upload Design and use the Open dialog to select a design from your local drive.

  3. Click Open. The design is added to My Designs and becomes available for browsing, editing, and production use.

Upload using drag and drop

  1. Open Library and go to My Designs.
  2. Simply drag a design file from your local drive onto the library window.

  3. Drop the file into the upload area. The upload dialog will open so you can enter design information.

Files to upload

You can upload one embroidery design file at a time. Supported files include common embroidery formats such as:
  1. .EMB
  2. .DST
  3. .PES
  4. .JEF
  5. and other supported formats
Each uploaded file becomes a separate design record in the Library.

Enter design metadata

During upload, you can enter metadata to organize your design.

Select a field to edit its value. This information helps you search, filter, and manage designs later. You can update:
FieldDetails
Title and descriptionA clear name and description that help identify the design and understand its purpose.
CustomerThe client associated with the design, used to organize and locate designs for specific customers.
StatusThe current stage of the design in your workflow, such as 'requested', 'in progress', or 'approved'.
Decoration areaThe location on the garment or product where the design will be applied.
TagsKeywords used to categorize the design and make it easier to search and filter.
NotesAdditional information or instructions related to the design, such as production details or comments.

Add attachments during upload

You can attach supporting files to the design record during upload. Examples include:
  1. artwork files (AI, EPS)
  2. images (JPG, PNG)
  3. PDFs
  4. other reference files
Attachments are stored with the design but are not treated as embroidery design files.

Resolve duplicate filename warnings

Each design filename must be unique within your organization’s Library. If you upload a file with a name that already exists, Library automatically adds an incremental number to the filename. Example:
  1. logo.dst
  2. logo (2).dst
If a deleted design is later restored and the filename already exists, the restored file will include _restored in the name. Example:
  1. logo.dst
  2. logo_restored.dst
This ensures all filenames remain unique.
